Flexible Spending Accounts (FSA)

An FSA is an employer sponsored plan that allows to deduct dollars from your paycheck and deposit them into a special account that’s protected from taxes. FSA accounts are exempt from federal taxes, Social Security (FICA) taxes and, in most cases, state income taxes. The money in an FSA can be used for eligible health and/or dependent care expenses that are incurred while you are participating in the plan.

There are two types of flex spending accounts that employees may participate in.

  1.  Health Care FSA – Covers medical, prescription, dental and vision expenses.
  2. Dependent Care FSA – Covers dependent care expenses including daycare, nursery school and day camp for children, and services for adult dependents who cannot care for themselves.

Did you know?

Items that are FSA eligible may or may not a doctor’s prescription.

Employees enrolled into the High Deductible Health Plan (HDHP) are enrolled into a health savings account with automatic employer contributions and voluntary employee contributions.

Each year, an estimated nine million Americans become victims of Identity Theft.* Too many of us are vulnerable to this potentially devastating crime. That’s why USAble Life is adding AXA’s Identity Theft Assistance to your USAble Life Group Term Policy. This new service will be available to all of your employees, their spouses, and dependent children.

Although it does not provide ID theft protection, the service offers educational information that can help reduce the risk of becoming a victim of identity theft. It also offers step-by-step guidance as to what members can do if they become a victim of identity theft.

Identity Theft Assistance, from AXA Assistance, helps you to understand the growing threat of identity theft in our country. We assist you in understanding this growing concern by:

  • Promoting awareness of identity theft
  • Answering your questions regarding identity theft and how to recognize if you have
    become a victim

Alma College’s medical insurance is offered through Blue Cross Blue Shield.  Employees have the option of choosing from a high deductible health plan (HDHP) or a preferred provider organization (PPO) plan.

Paid Time Off

Vacation
Full time employees are eligible for 160 hours (20 days) of vacation per fiscal year through the first 11 years of employment. Beginning in year 12, employees will be eligible for 192 hours (24 days) of vacation. Regular employees working at least .50 FTE will receive a pro-rated equivalent.

Holidays
Employees receive a total of 12 ½ holidays: New Year’s Day, 1/2 day for Good Friday, Memorial Day, Independence Day, Labor Day, Thanksgiving and the Friday after Thanksgiving, Christmas Eve through New Years Eve.

Sick Days
Salaried and hourly employees will earn 8 hours of sick time per month, or the pro-rated equivalent if working less than full time, starting with the first month of employment.

Bereavement Leave
Bereavement leaves of up to one week will be granted with pay for the death of a spouse, domestic partner, or child.  Leaves of absence of up to 3 days will be granted with pay for funerals of parents, grandparents and siblings of the employee or his/her spouse or domestic partner.  One day of leave will be granted for other extended family members.  Employees may request additional leave time for funerals and apply it to their sick leave allocation.

Mental Health days
Two mental health days will be given for employees’ use only.

Alternative Break
Five days annually will be given for employees to use on local volunteerism or to chaperone

Retirement Benefit

Retirement Benefit

To assist employees in planning for retirement, the college has established a defined contribution retirement plan. After one year of service, the college contributes an amount equal to 8% of an employee’s base compensation to an account in the employee’s name. In addition there is also an opportunity for an employee to make additional contributions and to manage their own investments. Full details are found in the plan documents listed below.

A financial advisor will be available to meet with employees who are interested in:

  • Reviewing any questions pertaining to the Alma retirement plan and their retirement account.
  • Going through Millennium’s financial planning process offered to all employees.
  • Reviewing and updating a financial plan that has previously been created for you.
  • Retaining Millennium for professional fee-based asset management of their retirement plan account(s).

Millennium Advisory Services is a registered investment advisory firm that specializes in working with higher education institutions and their employees, providing education and advice services to retirement plan participants.

All Alma employees are offered the opportunity to meet privately with an advisor to go through Millennium’s financial planning process and receive a personalized financial plan. This goal-based financial planning process is intended to help provide guidance on issues such as how much you should be saving for retirement, how your retirement account should be invested, and whether you are on track to reach your personal retirement goals. As part of our efforts to proactively and voluntarily comply with a number of provisions in the Sarbanes-Oxley legislation, the college developed and the Board of Trustees Audit Committee approved in October 2005 a code of Financial Ethics for the institution.  In addition, the college has also arranged for a confidential hotline under the “whistle blower protection” provisions of Sarbanes-Oxley.  Both of these initiatives are steps forward in voluntary compliance with Sarbanes-Oxley provisions.  Should an individual in the campus community have concern about compliance with the Code of Financial Ethics, he/she will have the opportunity through the Campus Conduct Hotline to report possible violations.

The Campus Conduct Hotline also offers an easy way to report behavior that may be unethical, harmful, questionable, or may cause someone personal injury.  You can call the Campus Conduct Hotline if you experience or observe any one of the following:

  • Fraud or crime
  • Sexual harassment/assault
  • Discrimination
  • Bullying
  • Hazing
  • Safety or risk issues
  • Security and internet policy abuses
  • Code of Conduct violation
  • Workplace hostility
  • Illegal or unethical business practices
  • Any other questionable behavior

The hotline system is available for use around the clock, seven days a week.  Because the hotline is operated as an independent organization, any calls made through this hotline are completely confidential and anonymous.

Using this reporting service is easy.  If you have any questions or concerns about a possible violation of our Code of Financial Ethics, and you are uncomfortable contacting an officer of the institution, simply call toll free to 866-943-5787.

  • At the beginning of the call you will be provided with a five digit randomly generated case number that you must use to check back for updates and requests for additional information.
  • The hotline staff will interview you about your concern, and the interview will not be recorded.  The interviewer will be typing notes of your conversation and whether or not you choose to provide your name is completely up to you.  Within one or two business days of your call, a summary of the interview will be forwarded to Alma College.
  • To receive a response you will need to call back and provide the five digit case number that was assigned to you at the time of your initial call.  At that time you might be asked to provide additional information or to call back at the later date.  you will be able to keep checking back for updates until you case is closed.

Because of the built in confidentiality, it is important that you be as specific as possible about the information you provide.  Again, because of the confidentiality we will not be able to contact you to get additional information.  Alternatively, if you would like someone to contact you directly you can leave your name along with a phone number, where and when you would prefer to be called.  To repeat, at no time is the caller required to provide his or her name and all information provided can be completely confidential and anonymous.

Work Related Injury/ Workers' Compensation

Work Related Injury/ Workers' Compensation

Alma College is concerned about employee safety and tries to ensure that the environment in which employees work is safe, healthful, and free of hazards.  Employees should report any unsafe conditions to their supervisor or by submitting a Work Order through Facilities Services.

In the event that an injury has occurred, the employees should seek immediate medical assistance.  If the injury is life threatening, please call 9-1-1.  For non-urgent matters, employees should report to their supervisor before leaving the job site.

Workers’ Compensation is intended to protect employees against loss of income or when they are absent from work because of an on-the-job injury or illness.  It is essential that you report any/all job-related accidents immediately to your supervisor.  Failure to do so could result in loss of benefits.

A First Report of Injury Form should be completed by the employee (or by the supervisor on employee’s behalf) and submitted to the Human Resources Office within 24 hours after the incident.  If there are questions about completing the form, please contact the Director of Human Resources.

Any employee who becomes injured on the job may be eligible to receive Workers’ Compensation benefits.  Coverage is determined by a third party vendor in accordance with the Workers’ Compensation Act.  employees may be eligible for direct payment or reimbursement or medical expenses, other expenses associated with the work-related injury, benefits continuation and wage continuation (which is currently at 60% of regular wages.)  If an employee seeks medical attention for a workplace injury, the employee should always inform the medical provider that the injury is job-related.

Alma College prohibits retaliation against any member of the community who in good faith reports unsafe or defective equipment, or any unsafe or hazardous conditions, or any work-related injury.

Reporting Work-related Injuries

Alma College is responsible for reporting all work-related injuries.  We partner with a third-party vendor to handle case management:

  • Including wage reimbursement (60% of regular schedule wages)
  • Medical case management
  • Medical expense and billing for each employee’s individual case.

Notify the Human Resources Office within 24 hours

Employees should notify the Human Resources Office within 24 hours about any work-related injury – even if you do not require medical attention.  A First Report of Injury is completed and submitted to the Human Resources Office and the office will submit the documentation to the third-party vendor and supply the employee with a claim number and contact information.
