Employment Specialist

FLSA EMPLOYMENT CATEGORY: Hourly; Non-Exempt; Clerical; 12 months, Part-Time

DEPARTMENT: Human Resources


This position is a member of a responsive, employee-focused Human Resources Office with primary responsibility for performing tasks that coordinate the recruitment, screening, and employment of faculty and staff.


This position has a dual report to the Payroll Coordinator and Human Resources Coordinator.


  • Advises College offices on hiring procedures
  • Meets with and trains members of search committees on proper interview procedures
  • After receiving approved personnel requisitions and job descriptions for staff positions, creates and distributes internal job postings, post position openings on the College Web page, and communicates with external entities for placement of employment advertising and billing procedures
  • Posts all approved faculty position openings on the College Web page
  • Tracks timelines and deadlines for searches
  • Reviews advertising invoices and forwards them to appropriate parties for approval and payment
  • Monitors Human Resources inbox
  • Monitors incoming job applications received into the Careers inbox; creates sharepoint sites for open positions and files all applicant materials into folders for respective positions
  • Conducts background checks on faculty and staff position finalists, faculty and staff changing positions within the College, and students in key positions
  • Sets up faculty, staff, and student employee in Ellucian Colleague after employment offer is accepted, allowing for implementation of email and portal access, and production of I.D. card
  • Assigns online training programs
  • Prepares letters to applicants not hired for non-exempt positions
  • Schedules and meets with all new faculty and staff to complete new hire paperwork
  • Scans HR and payroll-related forms into Content
  • Enters new hire information for faculty, staff, and students into the State of Michigan Website
  • Completes survey information for groups such as CUPA-HR, IPEDS, AAUP, and internal offices
  • Drafts responses to written employment verification and other correspondence
  • Review communications from state unemployment agency, drafts response or discusses the response with the Human Resources Coordinator
  • Responds to questions regarding college policies and procedures
  • Maintains employee census information and distributes as needed
  • Recommends potential improvements to employment processes
  • Enters all wages, stipends, and additional pay for all faculty, staff, and students in Ellucian Colleague


  • Bachelor’s degree or relevant experience
  • General knowledge of employment and benefit laws
  • Proficient in the use of standard office software, specifically word processing, databases and spreadsheets
  • Ability to protect confidential information
  • Outstanding customer service skills
  • Ability to work independently or in groups and to meet deadlines
  • Ability to make decisions within specified parameters


  • 2-5 years’ experience in Human Resources
  • Ability to use Word and Excel software and Ellucian Colleague


  • Ability to read, understand and organize information
  • Ability to enter data into computer systems and documents
  • Working at a desk for up to eight hours a day
  • Minimal lifting
