Director of Hospitality and Conference Services

SUMMARY:

The Director of Hospitality and Conference Services is responsible for the day-to-day operations and year-round logistical coordination of the college’s hospitality program (on campus overnight accommodations) and external events specifically focusing on summer camps. This is a full- time,12-month position.

ESSENTIAL DUTIES:

• Manage the college’s conference services program including the rental of Alma College campus and facilities for individual, corporate, non-profit and community/economic development related conferences and events.
• Field inquiries and serves as the primary point of contact for external constituents and organizations interested in utilizing campus grounds and facilities.
• Implement and enforcing rental agreements with external constituents.
• Create, plan and coordinate events, conference and summer camps for external constituents.
• Partner closely with the Communication and Marketing Office to create and implement a marketing plan that increases awareness, occupancy and utilization of hospitality, camp and conference services.
• Coordinate with summer camp directors to plan and market summer camps, including expectations, deadlines, registration goals and rates.
• Increase overall and program-specific revenue for overnight accommodations, conference services, external events and camps.
• Manage the daily operations of Alma College’s overnight guest accommodations program.
• Coordinate the conference and summer camp schedule and assigns facilities for all internal and external summer programs
• Work with campus community and external clients to schedule all conference needs into the appropriate campus facilities, including residence halls.
• Partner with campus colleagues to plan and implement campus-wide events, including August 2022 Commencement, Homecoming, Family Day, Community Day, and other college sponsored events involving external constituents.
• Provide coverage for events and conferences on evenings and weekends
• Work closely with the President’s Office, Advancement and other campus offices to maximize opportunities to serve Alma College constituencies through utilization of hospitality services for cultivation of donors and overall constituent relations.
• Collaborate with housekeeping staff to ensure safe, comfortable, and high-quality
guest experiences. Ensure adequate supplies and manage a budget for hospitality
programs and events.
• Provide training, guidance, and instruction to hospitality student assistants
who will support the departmental goals of hospitality.
• Engage in ongoing assessment and evaluation of programs and services, including user experience, to ensure consistent customer satisfaction and service quality.

REQUIRED QUALIFICATIONS:

• Bachelor’s degree
• Training in or experience with hospitality programs and events
• Self-starter with exemplary vision and energy
• Outstanding interpersonal and customer service skills
• Extraordinary ability to organize, prioritize, and multitask
• Exceptional verbal and written communication skills
• Ability to follow through and meet deadlines and budgets
• Ability to work weekends and evenings as needed
• Ability to handle confidential information
• Commitment to the mission, vision, and goals of Alma College

PREFERRED QUALIFICAITONS:

• Professional experience in a higher education setting
• Previous experience managing a hospitality operation
• Master’s degree

PHYSICAL REQUIREMENTS:

• Walking
• Sitting at a desk for up to 8 hours
• Lifting up to 20 pounds
