Associate / Assistant Registrar

Job Summary
The Associate / Assistant Registrar reports directly to the Registrar and assists with daily and strategic initiatives of the Registrar’s Office. The position focuses on assessing credit from both higher education and non-higher education sources, including reporting and analysis of related data and processes. Serves as the lead for biannual registration processes while collaborating on critical functions such new student registration and degree completion processes including audits and conferral.

Supervision received/exercised:
This position reports to the Registrar. The position has no direct supervisory responsibilities but may serve as lead
role with student assistants.

Essential Functions:
 Maintain accurate information on student records in the college’s integrated administrative software system (Ellucian Colleague) and run routine reports as requested.
 Serve as the point of contact for students, faculty and staff regarding transfer credit and placement policies.
 In keeping with college policy and in consultation with faculty as needed, provide timely assessment and assignment of all non-institutional credit, including but not limited to Advanced Placement (AP), Dual Enrollment, International Baccalaureate (IB), College for Credit (CLEP), CIC Online Course Sharing by Acadeum; along with assisting enrolled students with guidance on completing experiential learning including Study Abroad, Internships, Practicums and Feld Experiences.
 Collaborate with the Center for Student Opportunity in the development of strategies of support for students receiving non-institutional credit, including registration support, reporting and data analysis related to retention and student success.
 Assist with policy setting and long-range planning by staying connected to best practices regarding transfer and non-institutional credit as recommended by AACRAO, ACE, and other professional organizations.
 Responsible for posting of transfer credit evaluations from students’ college transcripts and advanced placement scores. Maintain transfer credit records, update cumulative record information, and input graduate data into computer system.
 Engagement within statewide initiatives such as the MiTransfer Pathways and Networks through the state of Michigan. Will research and make recommendations on course equivalency to the Registrar and faculty to continue efforts to increase transferability at Alma College and create direct course-to-course matches for
 Maintain and update articulation agreements with other post-secondary institutions while assisting faculty and the Registrar to design and develop meaningful 2+2 plans for Alma College.
 Serve as programming support for the Registrar in maintaining the creation and management of degree.
audits for use within Student Planning software, and conducting senior and junior degree audits as needed.
 Follow and create technical instructions, procedural manuals, and charts to solve practical problems; and/or compose routine or specialized reports or forms and business letters; and/or ensure compliance with clear guidelines and standards.
 Maintain 4-year plans and curriculum tracks for entry into Colleague, and use by all students.
 Manage course adjustments to include: processing changes to course prerequisites, CIC course registration, off-campus study registration, posting off off-campus credits, course substitutions and waivers as needed.
 Knowledge of department and college policies, procedures, and practices with the ability to answer work related questions; and/or interpret and apply these guidelines correctly in various situations.
 Provide regular office support services and contribute to the overall success of the Office of the Registrar and the College by performing other duties and responsibilities as assigned.

Desirable Job Qualifications:
 Experience with Microsoft suite of products.
 Dynamic Problem Solver.
 Strong verbal and written communication skills with the ability to interact effectively and professionally with all internal and external customers.
 Excellent attention to detail with a high degree of accuracy and ability to problem solve.
 Able to work independently with minimal direction or supervision, assuming responsibility for assigned projects.
 Able to multitask in fast-paced environment with varied constituents.
 Work experience in higher education is preferred.

Required Qualifications:
 Earned Bachelors’ degree, Master’s degree preferred.
 Experience with complex computer applications, including demonstrated expertise in database management (Alma College operates Ellucian Colleague as student information software, and Ellucian Student Planning as a
degree audit enhancement).
 Demonstrated experience in customer service with a positive, professional, optimistic demeanor.
 Excellent communication skills and commitment to customer service with increasing responsibilities within a Registrar’s office setting.
