Athletics Department Office Coordinator (Part Time)

Alma College, a NCAA Division Ill institution, invites applications for the Athletics Department Office Cooordinator. This position will provide support to the Director of Athletics and operations of the Athletics Department. This position is a 9-month, part-time position (20 hours per week.)

Essential Functions - may include, but not limited to the following:

  • Oversee the scheduling of student-workers at the Athletics Department front desk, events staff, and sports information.
  • Lead, guide and encourage student employees in a teamwork environment to provide excellent service to all constituents and develop their personal and professional skills.
  • Serve as the box office manager for the department’s online ticketing platform.
  • Coordinate with financial services to issue payments for officials, vendors, and request cash boxes for events.
  • Assist with the execution of competition/game contracts.
  • Provide front-line customer service for all Alma College campus visitors. Present a friendly, and helpful first impression of the campus.
  • Assist the leadership team in organizing and scheduling weekly/monthly staff schedules.
  • Assist the leadership team in planning and scheduling events for the entire Athletics staff.
  • Manage incoming calls to the Athletics Department. Route calls to the appropriate person/department within our campus community.
  • Coordinate with the facilities team to ensure the Athletics Department remains clean and welcoming daily, and work with campus security team to ensure the building’s availability is correct each week and over breaks.
  • Manage the correspondence of incoming requests/information (individual walk ins, email, phone, letters).
  • Directs all inquiries to the appropriate campus resources.

Required Qualifications:

  • Experience with Windows, Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Ability to multi-task and meet deadlines
  • Excellent written and verbal communication
  • Ability to work with confidential information
  • Ability to work weekends and evenings as needed
  • Excellent organizational skills
  • Associate degree or one year of related experience

Preferred Qualifications:

  • Two years of related experience with office administration and customer service skills
  • Knowledge of the Ellucian Colleague database of Slate CRM

Physical Requirements:

  • Walking
  • Sitting at a desk for up to 8 hours
  • Lifting up to 20 pounds
