Library Services Coordinator

Position Summary:  The Library Services Coordinator supervises all public service & resource-sharing activities for Alma College Library, including circulating & shelving materials; prepares overdue notices, collects fines, and maintains course reserves; and serves a variety of patron needs while exercising a high degree of independent judgment.  The Library Services Coordinator will gain a thorough working knowledge of circulation, billing, and resource-sharing software. 

Supervision Received/Supervision Exercised:

This position reports to the Access Services Librarian and supervises, on average, 20 student assistants.  

Essential Functions:

  • Perform all circulation services, including check-in and check-out of all materials, produce and send overdue notices, assess fines, establish replacement costs & and notify patrons, notify the Financial Services Office of outstanding library obligations, register patrons, and maintain confidentiality of user records.

  • Interview, hire, train, schedule and supervise 15-21 student assistants.  Maintain schedule of hours worked, and file time sheets with the Library Office Associate.

  • Provide first-line expertise for the Library’s automated circulation software.  Maintain accuracy of collection by assisting in inventory checking. Direct shelving of all materials and shelf-reading of the collection.

  • Create course reserve records on the Library’s automated system, supervise circulation of course reserves, remove materials no longer required, adjust records and return materials to owners at end of term.

  • Answer questions about Library services and procedures, via phone, e-mail and in-person.  Direct patrons to appropriate Library personnel for assistance. 

  • Oversee all steps of MeLCat (state-wide resource-sharing network) process, including: print daily paging slips, item retrieval, check-in and check-out of items, package items, send notification slips and run weekly reports.   

  • Oversee all Interlibrary Loan (ILL) transactions, including understand software, & locate sources for requested materials using online databases. Process materials requested by patrons, package items, apply appropriate protocols and Library policies. Maintain statistics for all resource-sharing activity.

  • Maintain records for fines, lost materials, & miscellaneous transactions, within campus community as well as for MeLCat and ILL items.

  • Regularly update procedures for circulation services and resource-sharing services.

  • Assist patrons with, and trouble-shoot, Library equipment issues, including scanners, PCs, & printers.

  • Oversee the mending and repair of books and other materials.

  • Act as Library receptionist in the absence of the Library Office Associate.

  • Inventory and request Access Services supplies, including paper for all of the public printers.

  • Schedule the use of library facilities, including group study rooms and classrooms. Communicate with students, other campus departments and other libraries to resolve conflicts.

Required Qualifications:

  • Bachelor’s Degree, or work experience equivalent to a four-year degree.

  • Ability to be flexible, multi-task, and exercise independent judgment.

  • Ability to work with attention to detail, follow specialized procedures and work well with the public.

Preferred Qualifications:

  • Two-three years of supervisory experience.

  • Experience with Microsoft Office suite and Google applications like Drive, Calendar and Docs.

  • Previous library experience and experience with an automated library system.

  • Experience in working with students and faculty.

Physical Requirements:

The majority of the workday involves sitting and working on a PC, using a standard computer keyboard and monitor.  The position requires sufficient manual dexterity to use a keyboard with a great deal of repetitive motion, sufficient visual acuity to read a standard monitor, and the ability to lift boxes weighing 50 lbs. or less.  This position also demands a fair amount of standing at the desk and moving about the library to assist patrons.
