Administrative Assistant--Advancement

Position Summary: Provides clerical support for the vice president of advancement. Assists other advancement staff when needed. Makes teamwork a priority.

Supervision Received: Receives supervision from the vice president. Expected to work independently.

Essential Functions:

  • Support the vice president
  • Provide clerical support
  • Prepare proposals
  • Create invites and other printed materials as needed
  • Coordinate materials for meetings
  • Take minutes in administrative meetings and other meetings as requested
  • Assist with events
  • Office manager duties
    1. Order office supplies
    2. Schedule repairs, setups, etc with physical plant
    3. Liaison with the housekeeper
    4. Keep time off book and process time off requests
    5. Assist with department budget and process incoming bills
    6. Maintain department calendar
    7. Review Advancement web site to keep it up-to-date and accurate

Required Qualifications:

  • High school graduate
  • Ability to multi-task and meet deadlines is essential
  • Experience with Microsoft Office Suite, including Excel and Word
  • Excellent organizational skills
  • Experience in database management
  • Knowledge of general office procedures
  • Excellent verbal and written communication skills
  • Excellent interpersonal skills
  • Work weekends and evenings as needed

Preferred Qualifications:

  • Associate’s Degree
  • Research and report building background
  • Knowledgeable in Blackbaud Raiser’s Edge software
  • Special events experience

Physical Requirements:

  • Walking
  • Lifting up to 20 pounds
  • Sitting at a desk approximately eight hours a day

The Alma College Students in Free Enterprise (SIFE) team has won 11 consecutive regional championships. The competition awards the SIFE teams that are most effective in teaching the principles of market economics through outreach projects in their communities. Last year’s team presented 12 projects, including teaching ethics and entrepreneurship skills to students at a juvenile detention center and launching an entrepreneurship competition for students with business ideas.

Angie Kelleher has a love of books in her blood and a passion for libraries in her genes.

The access services librarian at Alma College, who is a daughter of a librarian, worked in libraries throughout high school and college. Despite her lifeline to the library, Kelleher admits that it took her a while to read between the lines.
