Alumni Office Associate II

Position Summary: Provides clerical support for the Director of Alumni Engagement. Assists other advancement office staff when needed. Makes teamwork a priority.

Supervision Received: Receives supervision from the Director of Alumni Engagement. Expected to work independently. Supervises student assistants.

Essential Functions:

  • Receptionist—Coordinate daily functions pertaining to daily operation
  • Database—Identify specific populations, prepare mailings, update individual records and add alumni information
  • Manage Smith Alumni House guest registration and billing.
  • Homecoming
    1. Contact each department and Greek organization regarding its Homecoming reception
    2. Review list of supplies and order necessary items
    3. Prepare mailings for 50th and 25th year reunion classes
    4. Prepare name tags, certificates, presidential invitations
    5. Support ALA with its duties, e.g., parade, etc
    6. Prepare assignment sheet for Homecoming workers
    7. Prepare documents for registration, guest books, campus maps and all tickets
    8. Handle directional signs, assist with work orders and duties as requested by the alumni director
    9. Other tasks that develop
  • Alumni Board—Prepare meeting packets and perform other duties pertaining to this group
  • Alma Leadership Alliance (ALA)—Support the cakes and balloons program
  • Event Assistance—Implement guest list and mail invitations for Community Breakfast and for the Community Christmas Brunch, receive RSVPs and prepare name tags, lists and short bios on attendees
  • Commencement
    1. Create tickets
    2. Mail informational letters to parents and graduates
    3. Assign volunteers to tasks

Required Qualifications:

  • Ability to multi-task and meet deadlines is essential
  • Experience with Microsoft Office Suite, including Excel and Word
  • Excellent organizational skills
  • Experience in database management
  • Knowledge of general office procedures
  • Excellent verbal and written communication skills
  • Excellent interpersonal skills
  • Work weekends and evenings as needed

Preferred Qualifications:

  • Associate’s Degree
  • Report building background
  • Knowledgeable in Blackbaud Raiser’s Edge and/or Datatel software
  • Special events experience

Physical Requirements:

  • Walking
  • Lifting up to 20 pounds
  • Sitting at a desk approximately eight hours a day

Political Science Assistant Professor Britt Cartrite was backpacking through Europe in 1989 - the year of Tiananmen Square and the Berlin Wall.

“I was in Europe when the Berlin Wall fell … that crystallized my interest in political science,” he says.
