Office Associate
Applications are now being accepted for the Part-time Heritage Center Office Associate position. 9 months per year Monday - Friday. Occasional evening or weekend hours are required to cover special events.
Position Summary - The Heritage Center Office Associate serves as the communications hub for the faculty, student, staff, and community members who frequent the facility. The operation of the Heritage Center Box Office and supervision of student staff members are primary responsibilities for this position.
Supervision Received/Supervision Exercised - This position reports to the Heritage Center Coordinator/ Technical Director and provides supervision for student employees.
Essential Functions -
- Provide confidential office support for faculty of the Department of Theatre and Dance and for the Heritage Center Coordinator
- Support faculty in their class preparation as requested, including typing exams and handouts, copying materials, etc.
- Prepare requisitions and reimbursement requests for appropriate signature.
- Maintain budgetary records for assigned accounts.
- Monitor office supplies and order as needed, within budgetary limits.
- Serve as liaison between Heritage Center and other campus offices.
- Manage the Heritage Center Box Office
- Organize and supervise the box office.
- Reserve and sell tickets to patrons.
- Track reservations and ticket sales for all Center events
- Program event information for Tixsales program
- Maintain database and generate reports on Heritage Center audiences including attendance, revenue and donations.
- Deposit income into correct accounts
- Assist in the selection, supervision and training of the Heritage Center student employees, including box office procedures and ushering for events. Track and process student time sheets.
- Compile information for the Heritage Center programs and event flyers; coordinate development of materials with Marketing and Public Relations. Assist in distribution of promotional materials, posters and mailings to local and area communities.
- Serve on the Heritage Center Committee and Co-Curricular Affairs Committee.
Required Qualifications - Proficient in office applications including word processing, database, excel or accounting programs, Pagemaker or similar publication programs; experience in a professional office setting with demonstrated competence in managing financial accounts and transactions; excellent communication and customer service skills.
Preferred Qualifications - Previous work experience in a college or university setting or in box office management; knowledge of WinTIX program and/or of fine arts.
Physical Requirements - Must be able to perform computer-related work for several hours each day. Must be able to serve customers at the Heritage Center Box Office for up to 3 hours at a time.
