Part-time Office Associate for Athletics

Applications are now being accepted for the Part-time Athletics Office Associate position. 40 hrs/wk for 10 months, 10hrs/wk for 2 months, Monday–Friday.

Summary:

Organize, coordinate, and perform clerical and receptionist duties in the Department of Athletics.

Essential Functions:

  1. Working with Athletics Recruiting Coordinator, develop and maintain lists and correspondence files of perspective student-athletes in all varsity sports.
  2. Maintain current files of the 20 varsity sports, including schedules, rosters, MIAA eligibility, MIAA post-season reports, NCAA reports and eligibility forms.
  3. Coordinate MIAA and NCAA sport sponsorship reports.
  4. Coordinate mailings to perspective students (recruitment) and alumni (friend-raising and fund-raising).
  5. Communicate with MIAA Commissioner, MIAA Supervisor of Officials and MIAA publicist regarding game schedules.
  6. Requisition payment for and communicate with officials for 20 varsity sports.
  7. Prepare and send contracts for home athletic events.
  8. Greet visitors to the campus, both scheduled and non-scheduled.
  9. Answer telephone, forwarding messages for all staff.
  10. Prepare letter certificates for all letter winners in all varsity sports. Coordinate printing/engraving and distribution of MIAA and ANCAA certificates and plaques.
  11. Keep records and maintain stock of awards, blankets, paperweights, lifetime passes, etc.
  12. Prepare programs and booklets containing history and records for awards banquets for each sport.
  13. Receive and distribute mail, including packages.
  14. Order and maintain office supplies.
  15. Process and track Work-order requests through Physical Plant.
  16. Communicate with visiting teams/schools about travel, parking, locker-room and classroom availability and schedules.
  17. Process and track departmental budget requests, revenues and expenses.
  18. Coordinate contracting, scheduling and payment of student workers with appropriate staff members.

Minimum Qualifications:

  1. High School Diploma
  2. Five years of office/clerical experience
  3. Excellent public relations and communication skills
  4. Comprehensive knowledge of computer word processing (especially Excel and Word)
  5. Ability to work independently and confidentially with a variety of contacts.

Students at Alma College are starving to make a difference. They organized the 30 Hour Famine, an international youth movement sponsored by World Vision International, to raise money for food, clean water and other resources for impoverished people in developing countries. The students fasted for 30 hours to experience the hunger that a billion people in the world experience daily.
