Office Associate II - Admissions
Function: Coordinate the visits of prospective students and families. Work with Events Coordinator with all Group Visits.
Responsibilities:
Coordinate campus visits
- Collect appropriate information on student prospects to design personalized visits.
- Send out confirmation letter to prospects with letter, parking pass, campus map with directions.
- Be the front-line person for meeting and greeting for prospective students and families.
- Arrange for transportation and provide lodging information
- Facilitate appointments with faculty, coaches, admissions representative, and different offices (re: Center for Student Development) that have been requested
- Field questions and direct appropriate individual or department
- Work closely with Ambassador Coordinators who will assist in setting up the prospective visit schedule, emailing schedule to confirmed faculty, coach. Put schedule in Admiss and put visits in Visit Tab with correct information
- Coordinate tour guides to give tours, host lunch and work with our permanent host for overnight stays
- Take students to and from appointments if necessary
- Conduct visit follow-up with evaluation postcard and Campus Link Postcard, changing all information in Visit Tab as needed.
- Recommend process improvements in admissions department.
Events:
- Work closely with the Events Coordinator on various on-campus recruitment events
- Serving as a greeter coordinator, attend the various on-campus recruitment events
- Coordinate all tour guides on various on-campus recruitment events
Supervisory Duties:
- Oversee the Ambassador Coordinators and Tour Guides
- Work closely with Event Coordinator for training of Tour Guides
Additional:
- Serve as a backup in the absence of the Admissions Receptionist
- Answer questions for prospective students and families
- Help maintain a consistent and welcoming image in the lobby
Working Relationships:
- All admissions staff, Faculty, Coaches, Housing Office, Business Office, Financial Aid, Registrars
Minimum Qualifications:
- High School Diploma
- Strong technology skills & ability to use all Microsoft applications
- Strong communication skills (interpersonal and written)
- A minimum of one year of direct customer services experience
- Strong organizational skills
