Manager of Auxiliary Services
Summary
The Manager of Auxiliary Services is responsible for the successful operation of the Conferences, Printing, and Mailroom units and will also have the responsibility to assist the Vice President for Finance and Administration in identifying other revenue opportunities for the College.
Supervision Received
This position reports to the Vice President of Finance and Administration.
Primary Duties and Responsibilities
- Manage the conference program of the College.
- Manage the complete operation of the Mailing and Printing Center.
- Supervise support staff and student assistants.
- Ensure that quality customer service is provided to the conference guests and the campus.
- Approve charges to be posted to the Mailing and Printing Center.
- Approve invoices to be sent to conference groups.
- Monitor monthly budget activity to ensure within budget at year-end.
- Compile end of the month reports for posting.
- Request bids from vendors, for office supplies, paper products, stationery and envelopes.
- Maintain inventory of supplies.
- Take inventory of supplies at year end.
- Responsible for operation and maintenance of the mailing equipment.
- Keep abreast of all postal rules and regulations.
- Reconcile daily postal operations reports to those provided by the US Post Office.
- Oversee the printing operation and have a working knowledge of the printing equipment.
- Manage the operations in a way to best use the talents of the staff and to also perform hands on tasks as needed to meet schedules and provide high quality service.
Required Qualifications
- Bachelor’s degree in business or related field.
- Minimum of five years progressively responsible experience in managing revenue generating units, with some specific experience in one or more of the functional areas in this position. Prior supervisory experience required.
- Significant experience in the use of technology to achieve objectives of a service-oriented, revenue-generating unit of a larger organization.
- Experience in managing a budget of similar size.
- Strong organizational, communication, and interpersonal skills.
- Ability to meet multiple deadlines.
Desirable Job Qualifications
- Experience owning or managing a small for-profit business.
- Experience growing a business.
- Strong working knowledge of Excel and Word.
- Knowledge of each of the functional areas within this position.
Physical Requirements
- Ability to sit at a desk most of the working day; use a computer for extended periods of time
- Ability to travel around campus in various types of weather
- Ability to lift up to 70 pounds periodically
